Scope and responsibility
This notice explains data handled by this SCOREMAN installation. The installation operator handles service operation; the named organizer determines its event administration and publication requirements. A linked championship on another host has its own operator and policies. Use the contacts below for privacy requests and ask the organizer about its own processing.
Information collected
Depending on the configured entry method, we process names, birth dates, gender, athlete or guardian email and phone, addresses, sporting representation, team, school information, federation identifiers, photos, identity or age-proof documents, event choices, fees, payment status, sporting results and certificates. Optional or event-specific fields appear on the form. Technical session data, security and access logs and subscription preferences support the service.
Why information is used
Information supports athlete access, eligibility and document checks, team allocation, event administration, start lists, results, certificates, application communications, payment reconciliation, security and lawful recordkeeping. RSFI lookups and document extraction use the details or files you supply and the installation’s configured federation or extraction services. Review this notice before uploading a document. Do not supply unrelated sensitive material.
Who receives information
Authorized organizers, officials and team personnel access information within their permitted roles. Hosting, email, federation verification, document extraction and payment providers may receive information needed for their services. Public result updates may use a real-time service. A configured connected host may receive published championship and result data. Providers may operate in other locations; contact the operator for the providers and processing locations used by this installation. Disclosure to authorities occurs when required by law.
Public sporting information and RED PANEL
When the organizer publishes it, athlete name or masked bib, team or representation, age category, gender category, selected event, start list, time or mark, placing, podium, published photo-finish imagery and certificate information may be accessible through public competition pages. Eligible published final performances may appear in SCOREMAN RED PANEL and connected-host comparisons. Such pages can be copied by others. RED PANEL is a comparison of participating published results, not proof of identity or an official national ranking. Private identity documents, full birth dates and contact information are not intended for public result publication. Report unexpected exposure promptly.
Children and authorized adults
For athletes under 18, a parent or lawful guardian must review the notice and authorize the registration. Representatives must obtain and retain that authority. Contact the organizer before submission if authorization is unavailable or publication raises a concern. Any further verification required by applicable law must be completed by the responsible operator or organizer.
Payments and security
Payment providers such as the configured Razorpay or CCAvenue gateway handle their checkout under their own notices. SCOREMAN stores transaction references, amount and status and may retain provider responses for reconciliation. Do not submit card PINs, CVV codes, passwords or OTPs to SCOREMAN support. Account and role restrictions help protect records, but no online service can promise absolute security.
Retention and your choices
Records are retained according to the purpose: pending verification and incomplete applications while needed to resolve the application; entry and sporting records for event administration, corrections and historical results; payment records for accounting and legal duties; security records for investigations and disputes. Backups can retain older copies until their retention cycle expires. Ask the operator for the actual schedule and a review of unnecessary records. Request access, correction, deletion, restriction or withdrawal using the privacy contact, subject to applicable rights and necessary legal retention. Identity checks must be proportionate. Withdrawal of information essential to an event can prevent participation; unfollowing event updates does not cancel an entry. Public copies held by third parties may remain.
Cookies, analytics and changes
Essential cookies maintain sign-in, security and forms. Browser storage may remember theme, sound and saved championships. Where enabled, Google Analytics and public-page advertising can collect device, usage and cookie information under their providers’ notices and applicable consent requirements. Registration and checkout are kept free of advertising. Browser settings control cookies and local storage but can affect sign-in. See Cookies & services for details. This notice does not claim that optional tracking is disabled merely because you have not registered. Changes are dated and requests can be raised at any time.
