From first entry to final podium
Your SCOREMAN handbook
An easy walkthrough for first-time users, with a detailed reference for organizers, race officials, team managers and Superadmins.
Covers application features through v1.34.0 · English edition
Read the numbered steps first. Open Study further for the reasons behind the steps and less common situations. Search filters topics, not your championship records. You can print the whole guide or save it as a PDF using your browser.
Walkthrough 01 · Organizer
Your first championship
- Create the championship. Sign in, choose New Championship and enter its identity, dates and venue. Open that championship before working on its entries.
- Prepare the competition structure. Apply the appropriate template, then check disciplines, age groups, events, scoring and heat rules. See Templates and Events.
- Set registration and fees. Review the age reference date, opening/closing times, entry route, payment mode and event limits. Add contacts and teams where needed.
- Test one application. Follow the same registration path your athletes will use. Check the category, available events, fee and approval flow before sharing the public link.
- Review entries. Verify identity, eligibility and payment independently. Approve eligible athletes and allocate bib numbers.
- Prepare race sheets. In Race Chart, choose a discipline, event, age group and gender. Seed the first round and print the scoresheets.
- Record the official outcome. Run every round in SCOREMAN, or declare final G/S/B directly beside the athletes when the competition finishes manually. Use the optional full-ranking form for additional positions.
- Check and publish. Review Results Completion, medals and points. Open the public page and printed results, then prepare certificates.
Study further: preparation order and a worked example
Suppose a championship has Speed – Inline and Speed – Quad. “Cadet Boys, Track 1 Lap +D” in one discipline is a separate race category from the same age/gender label in the other. Approve the correct event entries, then seed each category independently. Printing an entry list does not create heats; seeding creates the heat roster.
Finalize the structure before accepting real entries. Changing age rules, enabled events or eligibility later can affect existing registrations and race groups. Review affected entries whenever you make such a change.
Accounts & permissions
| Role / access | Typical work | Scope |
|---|---|---|
| Organizer | Set up championships, manage entries and staff, oversee results and publishing. | The organizer’s organization. |
| Staff | Operate available administration screens. | The assigned organization and enabled features. |
| Championship Admin | Work in delegated areas such as Entries, Race Chart or Results. | Assigned championship; areas can be hidden, view-only or editable. |
| Team Manager | Add and review team athletes, see team results and manage their account. | The linked team/championship access. |
| Athlete / applicant | Submit an application, pay where required and look up their applications. | The applicant’s permitted records. |
| Superadmin | Manage platform customers, plans, updates, support access and bulk recovery. | Platform-level access. |
Use Switch Account when the same login has more than one available access. Always check the championship name and organization context before entering information.
Study further: a missing button is often an access issue
A view-only championship administrator can review an area but cannot save changes. A hidden feature may be unavailable under the subscription, or the organizer may not have delegated that area. Ask the organizer to check the specific area permission rather than sharing another person’s login.
Championship settings
Where: championship → Championship Settings
- Check the title, short title, dates and venue. Some fields are Superadmin-controlled and appear read-only.
- Review the championship status and registration opening/closing settings.
- Choose the available registration and payment options and confirm the age reference date.
- Add championship-specific branding, report header and certificate background where required.
- Save and inspect a public page or print preview to confirm the result.
Study further: discipline deadlines and public identity
A discipline-specific closing date overrides the common closing date for that discipline. Leave an override blank to inherit the common deadline. An override does not by itself reopen a championship whose overall state prevents registration. Team and public submissions check eligibility and deadlines when saving.
Organization branding and championship branding serve different purposes. Preview certificates and reports with the championship’s own identity rather than assuming that organization details will be inserted automatically.
Templates & reuse
Where: New Championship, Championship Settings and templates screens
A template supplies a starting structure of disciplines, age groups and events. Available choices include the RSFI / India Skate program, a World Skate baseline, blank/custom setup and saved organization templates.
- Choose the template that matches the championship’s governing program.
- Apply a full template to an empty structure.
- Review the created events and age rules against the championship bulletin.
- Use Save as a reusable template when you want to reuse the structure for future championships.
Study further: template versus championship duplication
A template is a reusable competition structure. Superadmin championship duplication copies an actual championship, including operational records and files, into a separate draft. Use duplication only when you intend to carry that history into the copy; it is not the same as starting a fresh event from a template.
Template names reflect their stored editions. A supplied template does not establish that every later federation amendment has been applied. Existing structured championships have controlled upgrade paths; full template application is restricted to avoid combining two structures accidentally.
Disciplines & age groups
Where: championship → Disciplines & Age Groups
A discipline is a competition family. An age group defines eligibility for that discipline. Check enabled status, age bounds, gender scope, display order and discipline mappings.
- Enable only the disciplines offered by this championship.
- Review each discipline’s age ladder and its reference date.
- Check event limits and any allowed discipline combinations.
- Register a sample athlete near an age boundary and confirm the resulting category.
Study further: age is not simply age on race day
Eligibility is calculated against the configured reference date and template rules. An athlete’s birthday and championship date alone are not enough to determine the category. Discipline mappings can also change which events are available. Revalidation after age-rule changes is a separate administrative operation; do not assume existing entries have automatically moved to the intended group.
All age groups in Race Chart is a batch workspace. It keeps categories separate. All / Open is an actual category without a configured age-group assignment in applicable records. These labels have different meanings.
Events & scoring rules
Where: championship → Events
For each event, check its discipline, title, distance/detail label, format, scoring type, gender, eligible age groups, entry fees and whether it counts toward team points.
| Scoring type | Ranking direction | Example use |
|---|---|---|
| Time | Lowest mark first | Timed race |
| Distance / height | Highest mark first | Measured performance |
| Points / score | Highest mark first | Points event |
| Judged score | Highest total first | Entered final judged total |
| Placement only | Official positions entered manually | Finish order without timing |
Study further: automatic and manual heat composition
Automatic profiles calculate stages, heat counts and qualification per age-group/gender category using approved entrants. Profiles include Track 200 m Dual Time Trial, Track 1 Lap / 500 m +D, Road 1 Lap, Track 1,000 m, 100 m two/three-lane formats, track/road points and elimination families, and single-final mass starts.
Read the selected profile’s help and any capacity warning. Some decisions require an official Final capacity. In Manual / custom composition, configure the round structure and heat capacity yourself. A manual event does not gain automatic qualification merely because it has multiple rounds.
For a 100 m two-lane profile, Final A and Final B have special medal mapping. Do not treat every heat winner as Gold. Let the selected rule and overall Final classification determine medals.
Teams & managers
Where: championship → Teams; manager portal → Dashboard / Our Entries
- Create or check the team’s name and contact details.
- Set up the team-manager login or invitation using the available controls.
- Ask the manager to confirm the championship/team shown after signing in.
- Have the manager use Add Athlete, then check submissions in Our Entries.
- Review and approve those submissions from the organizer’s Entries screen.
Study further: representing team and account scope
The team attached to an entry affects team reports and points. A manager login is an access method, not a substitute for the athlete’s eligibility and application review. Correct a wrong team assignment before finalizing rankings or certificates. Where WhatsApp invitation tools are available, check the recipient and invitation details before sending.
Walkthrough 02 · Athlete / Team manager
Athlete registration
- Open the correct championship. Use its shared public registration link, or the team manager’s Add Athlete screen.
- Choose the offered identity route. Depending on configuration, enter details manually, use RSFI/PNS lookup with date of birth, or load the RSFI annual registration PDF.
- Review the loaded information. Check spelling, date of birth, gender, photograph, representation and contact details. If the form asks for manual date-of-birth entry, provide it before submitting.
- Select eligible disciplines and events. The choices depend on age rules, allowed combinations, event limits and deadlines.
- Submit and retain the application number. Complete payment if required, then check application status through the available athlete login/lookup or team portal.
Study further: verified identity is not entry approval
Loading an RSFI record or PDF helps populate or verify the application. The organizer still reviews championship eligibility and approval. A payment receipt likewise does not prove that the entry has been approved to race.
If lookup fails, recheck the application number, date of birth and required document. Use the original registration PDF for the PDF route. Service availability and the configured verification route affect what can be loaded. Do not create duplicate applications just to retry a lookup or payment.
Review & approve entries
Where: championship → Entries
- Use discipline, age-group, gender, team and search filters to narrow the roster. Open More filters for status/payment controls where shown.
- Open the athlete’s record and review identity, event selections and documents.
- Resolve eligibility or payment issues using the available entry controls.
- Approve the eligible application. Confirm that the intended event entries remain active.
- Check the approved roster before seeding or assigning bib numbers.
Study further: Entry Bin, filters and participation counts
The Entry Bin keeps removed records separate from active entries. Use the available restore action when an entry was removed by mistake. Its retained payment history can still appear in reconciliation. Removing an application is not a payment refund.
Filters can persist through pagination and actions. Clear them before concluding that an athlete is missing. Public participation statistics and race eligibility use approved, active entries; a submitted or paid application may therefore appear in administration without being counted publicly.
Fees & payments
Where: Championship Settings / Events for fees; Payments for reconciliation
Fees can combine discipline charges and event-specific charges. Event fee modes include Included, an individual event surcharge, and applicable team-event per-athlete/per-team charges. Payment routes depend on the configured offline or online gateway setup.
- Check the intended fee schedule before registration opens.
- Use Payments to compare entry states, amounts and transaction records.
- Filter gateway versus manually marked payments and active versus Entry Bin records.
- For Razorpay, use the configured sync controls and date range to retrieve gateway activity and settlement details.
- Export the payment data when preparing reconciliation outside SCOREMAN.
Study further: payment status and settlement are different
A successful gateway payment, a manually marked paid entry, and a settlement to the organizer are different records. The Manually marked paid list identifies paid entries without a successful gateway transaction. Check the receipt/reference and transaction details before correcting a discrepancy.
Gateway sync requires the configured integration to be available. Do not mark an athlete paid only because a browser was closed after checkout. Look up the transaction first. Entry approval and payment review remain separate operational decisions.
Bib / chest numbers
Where: championship → Bib / Chest Numbers
- Select the disciplines that use bib numbers.
- Review approved entries and choose the starting number for auto-assignment.
- Read the assignment options before running the action, especially if numbers already exist.
- Check a sample of entries and print the required bibs or number list.
Study further: numbering scope
The discipline selection controls where bib numbers apply and are shown. An athlete entered in a selected discipline remains eligible for numbering. Use the application number to resolve uncertain identities; the chest number is an operational race identifier and should not replace identity checks.
A timing import depends on matching chest numbers. Avoid changing them after distributing race sheets or sending a roster to the timing operator without coordinating the change.
Staff & delegated access
Where: account menu → Staff Users; championship → Championship Admins
Use organization staff accounts for organization work and Championship Admin access for people assigned to a particular championship. Set each delegated area to the needed level: unavailable, view or edit.
- Create or select the operator.
- Assign the championship and permitted areas.
- Ask the operator to sign in and check the selected access.
- Verify that a referee can enter results and a view-only official cannot save changes.
Contact Persons is a separate feature for public contact details. Adding someone as a contact does not create a login or grant editing rights.
Race-day decision
Choose your result workflow
Quick result entry · v1.34.0
G/S/B in every heat
Where: Race Chart → any event/category and seeded round
Keep the normal heats on screen. Use the G, S and B buttons beside an athlete to declare their overall final medal, even when the selected round is Preliminary or Semifinal.
- Select the athlete's medal. G means Final Gold, S means Final Silver and B means Final Bronze. The selected button and final medal label show the declaration.
- Confirm a replacement when needed. If the medal belongs to another athlete, the dialog names that athlete before you move it. Declining leaves the assignment unchanged.
- Save Results. This saves both the ordinary round fields and the separate final medal declarations. Selecting a medal does not edit a time, position, qualification code or sanction.
- Continue or stop progression. You can still run the remaining rounds in SCOREMAN. A complete declared podium already counts for results, points and medals; further progression is optional.
Study further: preservation and full rankings
The update preserves medals already confirmed through paper migration and keeps original heat records. Declared medals override natural podium positions during consolidation and count once. Clearing a declaration does not revive a conflicting old natural medal. Missing medals remain flagged in Results Completion.
Use Offline paper result entry (optional) when you also need positions 4–12 and beyond. That tool remains available, but is not required to award G/S/B. If another operator changes the race or medals after you opened the screen, reload before saving.
Walkthrough 03 · Race official
Run all rounds in SCOREMAN
Where: championship → Race Chart
- Select the exact category. Choose discipline, event, age group and gender. Review approved participant counts and the calculated round plan.
- Seed the first round. Check the heats, lanes and participants, then print the scoresheets.
- Enter the round’s outcomes. Record times/marks or official positions. Mark absence and sanctions using the supplied controls.
- Save or rank. Use Save Results for entered outcomes. For supported mark-based events, the ranking action saves visible inputs and ranks the marks.
- Qualify. For an automatic profile, use Save, qualify & open next round. Check the seeded next round immediately. For manual composition, use the available manual qualification controls.
- Finish the Final. Enter its official classification, then verify Results Completion and the podium.
Study further: seeding, qualification and safeguarding later rounds
Seeding assigns athletes to heats/lanes; it does not record a result. Qualification identifies who advances. These are separate from final medals. Automatic progression uses the selected competition profile, not merely the top few displayed rows.
Already recorded later-round results are protected by progression checks. If an action is refused, inspect the later stage rather than deleting it to force progression. With All age groups, batch seeding creates each missing category independently and preserves existing seedings.
Walkthrough 04 · Race official
Final results from paper
Where: Race Chart → select category → Offline paper result entry (optional)
- Open the category. You can do this even when software progression stopped at the preliminary round. Check the event, age group and gender shown above the form.
- Enter overall Final positions. Position 1 displays G — Gold, 2 displays S — Silver, and 3 displays B — Bronze. Continue with 4, 5, 6 … 12 or beyond if required.
- Record other official outcomes. Use the appropriate absence, disqualification or participation outcome. Leave athletes blank when you have no final classification for them.
- Choose coverage. Use medal/final-position coverage when only those outcomes are being recorded. Choose all finalists classified only when every finalist’s outcome is included; unlisted athletes are then understood not to have reached the Final.
- Confirm final classification. Review the saved Final through Results Completion, rankings and reports.
Example: 15 athletes, only the podium recorded
Enter Arun = 1, Bala = 2 and Chitra = 3. Leave the other 12 blank if their final positions are not being recorded. A valid G/S/B podium is Complete in Results Completion, with additional rankings optional. Blank athletes have not been assigned invented positions or participation outcomes.
Study further: editing, timing evidence and preserved rounds
Paper entry saves an explicit Final classification used by consolidation, while earlier rounds remain preserved. It backs up the Final records it replaces. The regular heats remain available. Use G/S/B there for medal changes, or this optional form to review the overall finishing order.
Full-ranking entry rejects repeated positions and requires consecutive supplied ranks from 1. You cannot give a final place to an athlete marked absent or disqualified. Recording P confirms participation without an exact rank; it does not award a medal. Positions beyond the podium are optional when you are recording medals only.
If another operator changes the roster or results while the form is open, a stale save is rejected. Reload and review the current information before submitting again.
Offline rounds → Final shortcut
This older shortcut records first-round attendance, lets the referee select paper finalists and seeds the calculated Final for subsequent result entry. It is useful when the early rounds were run offline and the Final will be entered through the normal race screen.
- Seed the first round of a supported automatic multi-round category.
- Choose Offline rounds → Final when available.
- Mark absentees, select finalists and enter the required starting order.
- Open the seeded Final and enter its results.
Study further: why the shortcut may not appear
It needs a supported automatic multi-round plan ending in Final, an existing first-round roster and no conflicting recorded online results. It is not shown in the All age groups batch workspace. It can also be unavailable because the category starts directly in the Final.
For the more flexible situation where results already exist in earlier rounds and the remaining competition was completed manually, use G/S/B in the heats or the optional full-ranking form. The shortcut’s selection order is a starting/seeding order, not the final finishing position.
Walkthrough 05 · Superadmin
Recover a whole championship’s final medals
Where: Access Championship → Results Completion → Migrate championship paper results
Use this when officials previously selected G/S/B while a preliminary or intermediate round was open. The migration identifies explicit medal declarations; it does not promote ordinary preliminary numeric positions into final rankings.
- Open the intended championship as Superadmin. Confirm its name before proceeding.
- Review the championship preview. Ready categories can be processed together. Conflicts are listed and skipped. Categories already converted are not migrated again.
- Select Migrate all clean categories once. Existing medals become Final positions 1–3; valid existing Final rankings are retained. Earlier round records remain intact.
- Refresh Results Completion. A complete migrated podium is complete without approving every race individually. Missing medals or conflicts still require attention.
- Inspect consolidation. Spot-check the medal tally, an event report and the public podium.
Study further: backups, undo and incomplete declarations
Every operation retains before/after snapshots in the audit log. Undo restores replaced Final records only when affected categories have not changed since that operation. If there are newer edits, undo refuses to overwrite them. Undo newer operations first where appropriate.
Two athletes claiming the same final position or one athlete with incompatible final declarations are conflicts. Clean categories still migrate together. Do not resolve a conflict by assuming the earlier or later row is correct; consult the official result sheet.
v1.33.1 recognises already migrated podiums correctly. Installing that correction requires neither a repeat migration nor individual category confirmation.
Positions, result codes & sanctions
| Value / control | Meaning | Use carefully |
|---|---|---|
| Placement in a round | Position within the selected round/heat. | A preliminary 1 is not an event Gold. |
| Final position 1 / 2 / 3 | Gold / Silver / Bronze. | Paper entry declares the overall final outcome. |
| S / Q / F | Qualification or progression codes used by the workflow. | Advancement is not a final medal. |
| P | Confirmed participation without a medal code. | A blank record does not automatically mean P. |
| A / DNS / DNS2 | Absence / did not start / designated DNS2 decision. | Use the official decision applicable to the race. |
| DNF / WD / NR | Did not finish / withdrawn / no result. | These are terminal outcomes, not ranked finishes. |
| DQ, DQ-TF, DQ-SF, DQ-DF | Disqualification, including technical, sport and disciplinary distinctions. | Do not award a medal to a terminal disqualification outcome. |
| FS, W, RR controls | False starts, warnings and rank-reduction sanctions. | Record the referee’s decision; rule-dependent consequences apply. |
Study further: times and sanctions
For race times, follow the shown format such as MM:SS.mmm (for example 00:30.233). Do not enter a finishing position in the mark/time field. Inspect the ranking after auto-rank, particularly if any marks were corrected.
The race UI includes direct sanction controls; FS2 and W3 can apply prescribed disqualification consequences. Warning availability depends on the event rules. Software assists record keeping and rule application; the referee still determines the official sanction.
Timing / photo-finish CSV import
Where: Race Chart → selected category and round → timing import
- Confirm the event, category, stage and chest-number roster.
- Obtain the timing system’s CSV with the required chest-number and mark/time columns.
- Select the layout matching the export and import it.
- Read the updated/unmatched summary. Resolve unmatched chest numbers.
- Review the marks, rank where appropriate and qualify or complete the Final.
Importing times does not mean that all rounds have been completed. If you are working with a paper Final, use its explicit final-entry workflow rather than importing a result into a preliminary screen.
Results Completion
Where: championship → Results Completion, or Reports → Check all events
This is the championship-wide checklist for result work. Filter by discipline, age group, gender or status; use Show incomplete only to focus on categories needing attention.
| Status | Interpretation | Next action |
|---|---|---|
| No entries | No approved event entrants for the category/event. | Check approvals only if entrants were expected. |
| Not started | No round records yet for approved entrants. | Seed the category or enter the paper Final. |
| In progress | Something required is missing or conflicting. | Read “What remains”; correct that specific issue. |
| Complete — podium recorded | Applicable final medals are recorded through paper coverage. | Additional rankings are optional. |
| Complete — full final ranking | The declared full paper Final is recorded, or normal online progression is complete. | Review reports and publish. |
Study further: completeness depends on the workflow
Normal online completion checks missing seedings, round outcomes, qualifier progression and final classification. Paper completion bypasses intermediate rounds. It checks required podium places and conflicts instead of demanding that every approved athlete receive a final position.
In a 15-athlete podium-only category, Gold, Silver and Bronze are needed. In a one- or two-athlete category, only the applicable podium positions are required. Read the reason alongside the status; a completed podium does not claim a full finishing order for everyone.
Medals, team points & Points & Probables
Where: Results & Rankings; Reports → Points & Probables
Final classifications supply medals and team points. A preliminary position alone does not count as a final result. Confirm team assignments, approved/active status, active event entries and the event’s Counts toward team championship points setting.
- Check the configured Gold, Silver, Bronze, fourth, fifth, sixth and participation point values where applicable.
- Review the medal table and team totals.
- Open Points & Probables for a discipline to inspect athlete/event medals, configured points, ties and probable leading places.
- Resolve source results or team assignments before distributing final rankings.
Study further: an illustrative calculation
If your configured values are Gold = 5, Silver = 3 and Bronze = 1, a team with one of each earns 9 medal points before any other applicable position/participation points. These are example values; use the values saved for your championship.
Terminal disqualification/absence outcomes do not earn ranked medal points. Two-lane 100 m Finals use their rule-specific overall mapping. “Probables” is an analysis view of current recorded results, not an automatic announcement that a selection is final.
Reports & printing
Where: championship → Reports; Race Chart print buttons
| Output | Use it for |
|---|---|
| Entry register / Print Entries | Check athletes and registrations with the selected filters. |
| Scoresheet / start list | Officials’ heat roster, lane order and writable race record. |
| All first-round sheets | Separate sheets for each seeded age-group/gender category. |
| Full event competition sheet | View rounds, heats, advancement and podium together. |
| Event Results & Podium | Publication output for event categories, classifications and athlete photos where available. |
| Points & Probables | Discipline-level medal/point analysis. |
| Bibs and certificates | Numbered race identification and athlete documents. |
Check championship identity, category, paper orientation and browser print preview before making copies. If a PDF option is available, use it; otherwise the browser can save the printable page as a PDF. Incomplete online categories may be excluded from publication reports; paper partial classifications identify the recorded outcomes without inventing missing ones.
Certificates
Where: championship → Certificates
- Configure championship certificate identity, numbering prefix and participation/merit titles.
- Review the schedule text or the dates/venue that will be used.
- Add signing authorities, their designations/labels and signature images; check their order.
- Preview the background and text with a sample athlete.
- Choose One certificate per medal for a separate certificate for every Gold, Silver or Bronze, or One certificate per athlete to list all merit and participation on one certificate. Select all eligible athletes or one athlete, then use Generate / Print Certificates. Use Download Certificate List (CSV) for an Excel-readable list with the same certificate numbers, athletes and results. The combined certificate title can be customized in certificate settings.
Study further: corrections and print accuracy
Check the athlete name, team/representation, discipline, event and medal before issuing. A corrected result should be checked against any certificate already generated or distributed; an existing downloaded document does not change itself.
Certificate identity is championship-specific. A championship copy can retain historical certificate PDF contents, so review copied certificate material before using it for a new competition.
Public pages, contacts & announcements
Where: Contact Persons, Live Announcements, Public Live Page and Organization Brand
- Add contact people with designation, phone and email. Saved contacts appear publicly.
- In Championship Settings → Public results & privacy, choose Enabled or Disabled for public results, then save championship details. Disabled hides results, podiums, team standings and completed-category totals from visitors; registration, contacts and announcements remain available. Admin and team result access is unchanged. Existing championships start enabled.
- Share the correct championship public link.
- Use Live Announcements for championship messages.
- Open the public page as a visitor and verify podiums, filters, contact details and identity.
Study further: filters, refresh and masked names
The public results explorer supports discipline, event, age group, gender and team filters, with athlete/bib search. Expand the classification under a podium to see recorded outcomes. Refresh to load current results; existing filters can remain selected.
Masked championships conceal athlete names and photos in public results. Public approved-participant totals can differ from the administration count of all submitted applications. Contact information is published when saved, so enter details intended for public use.
Organization, subscription & billing
Where: account menu → Organization Brand / Subscription & Billing
Organization settings control the organization’s identity and public organization page. Subscription screens show the applicable plan and limits. Staff and championship administration are separate from subscription management.
Study further: when a feature or action is unavailable
Check whether the account has the right organization selected, whether the subscription is active, and whether the relevant feature is included. A championship administrator’s own permission can still restrict an included feature. Superadmin support access has separate platform privileges and should not be used as a substitute for granting an ordinary operator appropriate access.
Superadmin operations
Where: Platform Console
- Customers and users: create customer accounts and manage platform-level access.
- Plans: configure plan identity, prices, limits, trial duration, features and visibility.
- Access Championship: enter the selected organization/championship context for support. The top bar shows Superadmin context; use Return when finished.
- Duplicate championship: provide a new name and create a separate draft copy with its own public link.
- Template synchronization and age revalidation: use the available preview/controls for the intended customer or championship.
- Payment checks, settings and error log: inspect platform configuration and operational issues through the provided screens.
- Updates: install application updates and review their outcome.
- Paper-result migration: recover clean categories in a championship with one confirmation.
Study further: what duplication carries
Duplication can copy teams, athletes, entries, rounds, results, payments, settings, contacts, deadlines, files and remapped manager access. It retains historical payment details without reusing gateway transaction IDs. The copy is a separate draft; inspect it before opening registration. It is not a substitute for creating a clean championship from a structure template.
Support access is audited and keeps the Superadmin identity. Where user impersonation is explicitly used, the impersonated user’s permissions apply and the banner identifies that mode. Return to the platform context when the support task is complete.
Updates, backups & recovery
Where: Superadmin → Updates
- Read the release notes and note the current application version.
- Keep a database and uploaded-file backup according to your hosting procedure.
- Use the supported application update package through the updater.
- Read the success/failure message, then refresh the application.
- Check a championship, a result report and the public page after updating.
Study further: update versus data migration
An application update changes software and may apply required database changes. The paper-result migration is a separate, explicitly selected championship operation. Installing v1.33.1 corrects the completion display for already migrated podiums without running that operation again.
If an updater reports a migration checksum mismatch, preserve the error and contact platform support with the source version, target version and package name. Do not edit checksum records to force acceptance. For result undo, the saved audit snapshots and unchanged category state are required; keep the audit log in your database backups.
What still needs an official decision
SCOREMAN supports generic timing, distance, points, judged-total and placement workflows and specific automatic race profiles. It does not provide every dedicated workflow for every sport.
- Detailed hockey clocks, periods and penalty workflows need separate/manual operation.
- Roller derby jam and penalty-box workflows are not a complete dedicated module.
- Multi-judge component scoring, discarded-score formulas and specialized judging need official calculation where not explicitly supported.
- Protests, appeals, disciplinary case management and equipment/medical procedures are not a complete automated case system.
- Unspecified rule exceptions, category mergers and decisions delegated to officials must be resolved by the competition authorities.
Select the matching supported profile and follow the current championship bulletin and governing rules. The guide explains software operation; it is not a federation rulebook.
Troubleshooting: start with the symptom
G/S/B are recorded, but Results Completion still says In progress
On v1.33.1 or later, refresh Results Completion. If the medals were already migrated and all applicable podium places are present, no repeat migration is needed. If medals remain only in an old preliminary record, use championship migration or paper Final entry. Read “What remains” for missing or conflicting positions.
The paper form shows numbers instead of medals
They are overall Final positions. Positions 1–3 map to Gold, Silver and Bronze; v1.33.1 displays those labels beside the inputs. Ordinary preliminary placement fields still describe round positions.
An approved athlete is missing from Race Chart
Check the selected discipline/event, age group and gender, the active event entry, and whether that round has been seeded. For a later round, check qualification from the previous stage. Clear filters and verify that the entry is not in the Bin.
A registered athlete cannot select an event
Check age reference date, discipline mapping, gender/age eligibility, event enabled status, event limits, allowed combinations and discipline/common closing dates. The registration screen can legitimately offer fewer events than the administration event list.
The fast-forward button is missing
The older shortcut has seeding, automatic-rule and existing-result restrictions. For a competition completed on paper, use G/S/B beside the athletes; the full-ranking form is optional. See the two separate workflows above.
A medal appears in administration but not in the public podium or points
Check whether it is an actual Final declaration, whether the event/entry is active and approved, whether the event counts for points, and whether filters are hiding the category. Incomplete online classifications may not publish. Legacy preliminary medal declarations need recovery into an explicit Final.
Payment is visible at the gateway but the entry is not ready to race
Review the gateway transaction and reconciliation status, then the athlete’s separate entry approval. Use the configured sync or platform support route for missing gateway updates.
Saving or undo says the data changed
Reload and review current records. Another operation may have changed the category since the preview. Undo intentionally refuses to replace newer changes. Do not keep submitting an old form.
I cannot edit, or an entire menu is missing
Check the selected access, organization, championship, subscription feature and delegated area permission. A view-only account needs the organizer to grant edit access.
For support, include the application version, championship, event, age group, gender, stage, exact message and steps taken. A screenshot of the relevant fields helps. Keep passwords and payment credentials out of support messages.
